1. Booking & Payment
- All bookings are subject to availability and will be confirmed only upon receipt of a deposit. The remaining balance must be paid in full before or on the day of the event, unless otherwise agreed in writing.
- Failure to make payment in full by the agreed date may result in the cancellation of the booking and forfeiture of the deposit.
2. Hire Duration
- The standard hire duration is 5 hours, unless otherwise stated at the time of booking. Any additional hours must be requested and agreed upon in advance, and may incur additional charges.
- Setup and takedown times are not included in the hire period but must be considered when booking your event space.
3. Delivery, Setup & Collection
- The Memory Booth team will deliver, set up, and collect the phone booth at the agreed times and location.
- It is the customer's responsibility to provide adequate access for delivery and setup. If access is restricted or unavailable at the agreed time, additional charges may apply.
- If the Memory Booth team encounters unforeseen issues with setup due to space, access, or venue permissions, the customer will be informed. The Memory Booth team will not be held responsible for any loss or inconvenience caused.
4. Use of Equipment
- The phone booth and audio phone must be used only for their intended purpose, and in accordance with the instructions provided by the Memory Booth team.
- Customers must ensure that guests follow the guidelines to ensure proper use. Tampering with the equipment, particularly the buttons and controls on the audio phone, is strictly prohibited.
- The customer is responsible for any loss, damage, or theft of the equipment during the hire period.
5. Liability & Insurance
- The Memory Booth team takes all reasonable measures to ensure that the phone booth and audio phone are in good working condition.
- However, we do not accept liability for any unforeseen technical malfunctions, failures, or issues that arise during the hire period, which are beyond our control, including loss of recordings.
- The customer is liable for any damage caused to the booth or audio phone during the hire period, and may be charged for repairs or replacements as necessary.
6. Force Majeure
- The Memory Booth team is not responsible for any cancellations, delays, or failure to perform services due to unforeseen circumstances beyond our control (e.g., extreme weather, acts of God, governmental restrictions, etc.).
- In the event of a force majeure occurrence, every reasonable effort will be made to reschedule the booking or provide a suitable alternative.
7. Health & Safety
- It is the customer’s responsibility to ensure the safe placement and use of the phone booth at the venue.
- The Memory Booth team will take appropriate safety measures during the setup, but the customer is responsible for ensuring that the booth is not placed in a hazardous location or obstructing walkways.
8. Privacy & Data Protection
- The Memory Booth team respects your privacy and will handle any recorded data in accordance with applicable data protection laws.
- Recordings made using the audio phone are the property of the customer, and the Memory Booth team will not share or distribute the recordings without the customer’s consent.
9. Cancellation by Memory Booth
- The Memory Booth team reserves the right to cancel bookings in the event of unforeseen circumstances (e.g., equipment failure, staff illness). In such cases, a full refund of the deposit will be provided, and efforts will be made to reschedule where possible.
10. Changes to Booking
- Any changes to the booking, including hire times or location, must be communicated and agreed in writing at least 48 hours prior to the event. Failure to do so may result in the original booking details being upheld or additional charges being incurred.
By agreeing to these Terms & Conditions, the customer acknowledges and accepts full responsibility for the equipment and the adherence to the terms during the hire period.
