The Memory Booth respects your privacy and is committed to handling personal information responsibly.

This Privacy Policy explains how we collect, use, store and disclose personal information when you visit our website, request a quote, make a booking, communicate with us or use our services.

In this policy, “we”, “us” and “our” refer to The Memory Booth.

2. Information we collect

We may collect the following information:

Contact information

This may include your name, email address, telephone number and other contact details you provide.

Event and booking information

This may include your event date, venue, delivery address, event type, selected products, booking preferences, payment status and other information required to provide our services.

Communications

We may retain emails, inquiry messages, customer service communications and other correspondence between you and The Memory Booth.

Payment information

Payments are processed by Square or another approved payment provider. We may retain payment status, transaction references, amounts, receipts and refund information.

We do not receive or store complete card numbers or card security codes.

Audio, video and event content

Our services may involve greeting recordings, guest messages, audio, video, photographs and other event content.

The handling and permitted use of this content is also subject to our Terms and Conditions and any separate agreement made with you.

Website and device information

We may collect information such as your internet address, browser type, device type, referring website, pages visited, advertising identifiers and information collected through cookies or similar technologies.

3. How we collect information

We may collect information:

  1. Directly from you when you submit an inquiry, request a quote, make a booking, send us an email or contact us.
  2. When you use our website, booking system or website assistant.
  3. Through service providers that help us operate our website, CRM, payments, advertising and communications.
  4. From publicly available sources or referral partners where permitted.

4. How we use information

We may use personal information to:

  1. Respond to inquiries and prepare quotes.
  2. Check availability and manage bookings.
  3. Process payments, receipts and refunds.
  4. Deliver, set up and collect hired equipment.
  5. Send booking confirmations, payment links, reminders and service updates.
  6. Maintain customer and booking records.
  7. Provide customer support and respond to disputes.
  8. Improve our website, services and customer experience.
  9. Measure advertising performance and show relevant advertising where permitted.
  10. Detect fraud, misuse, security incidents or technical problems.
  11. Meet legal, accounting and regulatory obligations.

5. Google Workspace data used by our CRM

The Memory Booth CRM connects to a Google account authorised by The Memory Booth. The connection is used to manage business email and booking calendar events.

Gmail access

The CRM requests permission to read Gmail messages and send email from the connected business account.

Gmail access is used to:

  1. Find relevant incoming and outgoing customer emails.
  2. Link customer correspondence to the appropriate lead or booking.
  3. Display customer correspondence to authorised Memory Booth staff.
  4. Send replies, booking confirmations, payment links, reminders and other customer communications from the connected business email account.

The CRM may store Gmail message and thread identifiers, sender and recipient details, subject lines, message snippets, message text, message HTML, dates and whether a message contains an attachment.

The CRM does not download or store the contents of Gmail attachments.

The CRM does not delete or alter messages in the connected Gmail account.

Google Calendar access

The CRM uses Google Calendar access to create, check, update and delete Calendar events that represent Memory Booth bookings.

The CRM is the source of truth for bookings. Calendar changes are not imported back into the CRM as booking changes.

Calendar event identifiers may be stored so the CRM can update or remove the correct booking event later.

Google connection information

The connected Google account address and an OAuth refresh token are stored so the CRM can continue operating after the initial connection.

The refresh token is treated as confidential and is not displayed to ordinary CRM users. Access is restricted to authorised systems and administrators.

How Google user data is handled

Google user data is used only to provide business email, customer communication and booking calendar functions.

We do not sell Google user data. We do not use Google user data for advertising. We do not send Google user data to general purpose artificial intelligence models for training.

Google user data may be processed by service providers that securely host and operate the CRM on our behalf. These providers are permitted to process the information only as required to provide their services or comply with law.

Our use of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements.

The Google connection can be removed through the CRM or through the connected Google Account permissions page. Removing access stops future access to Gmail and Google Calendar. Existing business records may remain where reasonably required for booking administration, legal obligations, accounting or dispute resolution.

6. Website assistant

Messages submitted through our website assistant may be processed by an artificial intelligence service provider to generate a response and help us answer an inquiry.

You should not enter payment card details, passwords, health information or other highly sensitive information into the website assistant.

Information provided to the assistant may be stored as part of an inquiry or customer record.

7. Payments

Square processes online card payments made through our booking system.

Square receives payment information directly. Square’s handling of that information is governed by its own privacy policy and terms.

We retain only the payment and transaction information reasonably required to manage bookings, payments, refunds, accounting and disputes.

8. Advertising, analytics and cookies

We may use cookies and similar technologies to operate the website, understand website usage, measure advertising performance and improve our services.

We may use services provided by Google and Meta for analytics, advertising measurement and retargeting.

These services may collect device information, website activity, internet addresses and advertising identifiers in accordance with their own privacy policies.

You can restrict cookies through your browser settings. Restricting cookies may affect some website functions.

9. When we disclose information

We may disclose personal information to:

  1. Website, hosting, database and CRM service providers.
  2. Payment processors such as Square.
  3. Google for Gmail, Calendar and related services.
  4. Advertising and analytics providers such as Meta and Google.
  5. Mapping, location and delivery service providers.
  6. Artificial intelligence providers used by the website assistant.
  7. Professional advisers, insurers, accountants or legal representatives.
  8. Government authorities or law enforcement where required by law.
  9. Another business as part of a sale, restructure or transfer of The Memory Booth, subject to appropriate protections.

We do not sell personal information.

10. Overseas processing

Some service providers may process or store information outside Australia.

Where this occurs, we take reasonable steps to use reputable providers and protect personal information in accordance with applicable requirements.

11. Data retention

We retain personal information only for as long as reasonably required to:

  1. Provide our services.
  2. Manage bookings and customer relationships.
  3. Maintain accounting and transaction records.
  4. Respond to disputes or legal claims.
  5. Meet legal and regulatory obligations.

Information that is no longer reasonably required may be deleted, anonymised or securely archived.

12. Security

We use reasonable administrative, technical and organisational safeguards to protect personal information against loss, unauthorised access, misuse, alteration or disclosure.

No internet service or storage system can be guaranteed to be completely secure.

13. Your choices and rights

Subject to applicable law, you may ask us to:

  1. Provide access to personal information we hold about you.
  2. Correct inaccurate or incomplete information.
  3. Delete information that we are not legally required to retain.
  4. Explain how your information has been used or disclosed.
  5. Stop using your information for direct marketing.

We may need to verify your identity before completing a request.

You can also revoke the CRM’s Google access through your Google Account permissions.

14. Event recordings and marketing

Audio, video, photographs or other event content will be handled in accordance with your booking agreement and our Terms and Conditions.

Where content may be used for marketing, social media or promotional purposes, you may contact us before your event to discuss consent or request that your content not be used.

15. Links to other websites

Our website may contain links to third party websites. We are not responsible for the privacy practices or content of those websites.
